Communications & Outreach Subcommittee Meeting

Attendees: Victoria Webb, Tom O’Donnell, Linda Hurlock; Joan Welch (WCU
VIP guest).
1.Ideas for the public meeting (charette) – Phillips Memorial Bldg,
8 tables, lower level, 50 people; or ballroom at Sykes student Union (in high
demand)., Green Room also lower level. Victoria and Linda will look at these
to help us decide on the best facility for us to use. Parking will be an important
consideration.
2. WCU classes end December 8, Monday then finals, the 14th is commencement.
3. We are talking about 6-8 tables with display easels, will have a separate
table for food/snacks.
4. In announcements make sure we provide email addresses for people who can
not attend but want to submit comments. (Steve should give guidance on how
to contact the county/task force. We do have an email account set up on chescogreen.org,
but he may want the public’s email coming into the county site)
5. Public meetings are usually held at 7:00PM. We will go with 7:00 –
8:30PM.
6. Introduction by Steve Fromnick.
7. Preferred date is Wednesday Dec. 3rd
8. advertising: email: chesco.org( Linda not sure about that email list);
township officials; EACs; press and media; Planning Dept. (David Ward); colleges;
WCU student groups; maybe student volunteers; Joy Bergey re: faith-based;
scouts.
9. Student EARTH and Environmental Council co-sponsors, sustainable snacks
if possible, catered unless we have to use Aramark; Joan will guide us on
caterers. Victoria has contact for local/sustainable catering if Aramark falls
through.
10. Guidelines: write recommendations on easels with news print pads; 5-10
key ideas or write them on a white board; WCU can help with easels, markers
and tape, writing paper; note taker, print citizen input on Chescogreen.org;
11. Victoria Webb/Linda Hurlock will initiate announcement, e-blasts, website
updates.
12. Tom will contact and update Steve Fromnick and give a budget guideline
of <$1000.
13. Next meeting November 11th at Exton Library- tentative.
